Event Details 


The RFP starts with and introduction to the property and a summary of how many properties will be contracted for the event and the number of rooms requested for the event.

The Event Details and History provide the property with an idea of bedding requirements, complementary rooms requested to participate in the event, as well as any additional requests the event admin has for the property.

Identify Property


All RFP's are property specific, so we ask that hoteliers make sure the RFP was sent to the correct property. 

Room Block, Rates, Terms & Compensation 


To participate hotelier should agree to the requested compensation.

Required fields will have a red asterisk in front of the label, all room type information is required. Property's have to enter room type description, block, and rates. 

In the next section property specific policies are entered including:

  • Block Release Date - The date that the room block will be released back to the property
  • Minimum length of stay - The minimum number of required for a guest to stay at the property
  • Up-front complementary room(s) guaranteed during event
  • Non guaranteed complementary rooms - Number of possible complementary rooms that can be earned per room night reserved 
  • Taxes - Tax rate and additional taxes that may need to be paid
  • Ancillary Fees - Any additional fees that the guest will be required to pay
  • Breakfast Included - Type of breakfast included if any

Property may provide any other considerations. Property has to provide a standard cancellation policy or a custom cancellation policy.

Rooming List Access 


Property has to indicate which person at the property will be granted access to the secured rooming list site.

Comments 


Property can provide comments to the event administrator. This section can be used to include any concessions offered. 

Terms and Conditions 


Property must read and agree to the event's custom terms and conditions before submitting the bid.

Bid Expiration Date 


Property can specify a date the bid will expire. 

Electronic Signature 


Property enters name and title of who submitted the RFP, any reference number for the bid, and whom the primary contact at the property will be. The property will then be able to submit the bid for the event administrator to review.
